Development of Pharmaceutical inventory management at Banchang Hospital to be standard and safety.

Abstract

This study was a retrospective descriptive cross-sectional study. The Objectives were to study the situation of pharmaceutical inventory management at Banchang Hospital and developing a standardized and safe pharmaceutical inventory management system. The sample in this study was the annual expenditures incurred on each item of drugs in the pharmaceutical inventory management department at Banchang Hospital for the fiscal year 2023. The data was categorized using the ABC analysis method, which groups drugs according to their cost value, and the VEN analysis method, which groups drugs according to their importance and necessity. The ABC-VEN matrix analysis method was then used to create a combined relationship matrix, dividing the drugs into three categories: Category 1, Category 2, and Category 3. The analysis tool used was Microsoft Excel, and the data was analyzed by frequency distribution and percentage calculation. The ABC analysis results showed that Group A drugs had the highest cost value, accounting for 79.91% of the total cost but only 20.99% of the total number of drug items. Group B drugs had a moderate cost value, accounting for 15.03% of the total cost and 24.76% of the total number of drug items. Group C drugs had the lowest cost value, accounting for 5.06% of the total cost but the highest number of drug items, accounting for 54.25% of the total number of drug items. The VEN analysis results showed that Group V had the fewest drug items, accounting for 8.73% of the total number of drug items and 7.54% of the total cost. Group E had the most drug items, accounting for 80.89% of the total number of drug items and the highest cost value, accounting for 90.08% of the total cost. Group N had 10.38% of the total number of drug items and the lowest cost value, accounting for 2.38% of the total cost. The ABC-VEN matrix analysis results showed that the majority of the drug cost value was in Category 1, which includes AV, AE, AN, BV, and CV drugs. These are important and necessary drugs that must be available in the hospital, have high costs, and require significant attention in pharmaceutical inventory management. CV drugs are inexpensive but highly necessary, so their inventory should be managed to increase stock levels and reduce the frequency of purchases to minimize procurement burdens and the risk of drug shortages. The ABC-VEN matrix analysis should be conducted regularly before the start of the fiscal year to ensure efficient pharmaceutical inventory management and should be presented to the Pharmacy and Therapeutics Committee to enhance management efficiency.
