A Google Workspace-Based 360-Degree Evaluation Monitoring System for Competency Assessment of Pediatric Residents

Abstract

The 360-degree evaluation is an essential competency-based assessment for pediatric residents in Thailand, designed to provide multisource feedback aligned with core competencies of residency training, including professionalism, interpersonal and communication skills, patient care, practice-based learning and improvement, and systems-based practice. Mandated by the Royal College of Pediatrics of Thailand, this assessment aims to minimize evaluator bias and reflect performance domains that learners may not be able to self-assess accurately. However, traditional paper-based process encountered challenges such as low response rates, prolonged tracking periods, and increased administrative burden. To address these issues, this quality improvement study implemented a digital workflow utilizing Google Workspace to replace the conventional system. The digital transition was applied alongside comprehensive evaluation guidelines encompassing a diverse group of assessors: attending faculty, fellows, residents, nurses, and medical students. The study compared operational outcomes-specifically the number of procedural steps, tracking duration, and response rates-between the pre- and post-implementation periods. The implementation resulted in reduced the operational steps from 12 to 4 (a 66.67% reduction) and decrease in tracking time from 14 days to 2 days (an 85.71% reduction), Furthermore, the overall evaluation response rate increased significantly from 36% to 85.5% (a 137.5% increase), while achieving tangible reductions in operational costs. In conclusion, integrating a digital 360-degree assessment system enhanced the efficiency, feasibility, and sustainability of competency-based resident evaluation, supporting continuous quality improvement in pediatric residency training.

Assoc. Prof. Supinya In-iw, M.D., currently serves as the Deputy Head of Department for Data Management, Department of Pediatrics, Faculty of Medicine Siriraj Hospital, Mahidol University. She previously served as the Deputy Head of Department for Postgraduate Education and received the "Outstanding Research Award in Education" for her research entitled "Exercise, Mental Well-Being and Burnout in Thai Medical Students in 2020-2021: An Online Cross-Sectional Survey" published in the BMC Medical Education journal.
