Development of a Medical Supplies Management System in Tambon Health Promoting Hospitals of Phra Phrom District, Nakhon Si Thammarat Province

This action research with plan-do-check-act (PDCA) process aimed to: 1) develop a new medical supplies management system for a Tambon Health Promoting Hospitals in Phraphom District of Nakhon Si Thammarat Province, and to 2) compare the value of drugs and medical supplies that were deteriorated or expired before and after the implementation of the new medical supplies management system in the medical supplies warehouse. Samples were 6 medical supplies storage from the Tambon Health Promoting Hospitals. Data were collected between October, 2019 and September, 2020, using a record form based on the standard of medical supplies, namely the disbursement record form for drugs and medical supplies, and the list of deteriorated or expired drugs. Cost analysis, and value comparison were conducted in Thai Baht currency.
Results revealed that the developed medical supplies management system included:
1)drug delivery done by the hospital once a month, 2) label and color were used for classification of supplies, 3) documentation of the highest and the lowest consumption per supply and per month, 4) a drug withdrawal system from the pharmaceutical storage, 5) data on the highest and lowest consumption drug reclaims, as well as 6) administration of drugs and medical supplies to prevent deterioration or expiration. Evaluation of the new management showed that in the fiscal year 2020, the total drug withdrawal amount decreased to 775,553.00 baht (55.79%). Since there was a regular monthly drug withdrawal, the value of medical supplies decreased to 3,402.10 Baht (9.63%). Nevertheless, value of deteriorated or expired drugs and medical supplies decreased to 56,032.00 Baht (65.6%), and 4,260.00 baht (100%), respectively.
Persons responsibility for managing pharmaceutical supplies in the pharmaceutical warehouses of Sub-district Health Promotion Hospital should be applied the network guidelines for the development of pharmaceutical management system to improve the quality of work to the same standard.
